To effectively plan and execute an excellent event you must be as detailed as possible. And in order to be as detailed as possible you must ask every foreseeable question imaginable so that you don’t miss a beat on event day. For instance, when booking venues here are some questions you should ask beyond the typical ones such as availability and size:

  1. Is there wheelchair access?
  2. Is there any construction taking place?
  3. What are the best transportation options? Are there plenty of cabs available?
  4. What are the best parking options for guests?
  5. Previous references?
  6. Timing - when can you get in and is there any need for a speedy tear down?
  7. Are there any minimums?

Don’t expect venues and/or contacts to make you aware of everything; to reduce the number of inevitable curve balls that you will deal with on-site it’s your job to ask all of the questions.

After each event you’ll likely add new questions to your event checklist (this usually happens following one of those curve balls!).

The more you know in advance the better you’ll be prepared - allowing you more time to focus on your event’s success.
